Procedure Codes and Setup
Procedure codes define the billable services your practice offers. Each charge entered in InSched is associated with a procedure code, which determines the default amount, description, and billing behavior.
Accessing Procedure Codes
Select Billing > Procedure Codes or Setup > Procedure Codes from the menu.
Procedure Code List
The Procedure Codes dialog shows a searchable grid of all defined procedure codes. You can filter, search, and manage codes from this interface.
Setting Up a Procedure Code
Each procedure code includes:
Basic Information
- Procedure Code - The CPT or HCPCS code (e.g., "99213" for an office visit)
- Description - Description of the service
- Default Amount - The standard charge for this service
- Category - Grouping category for reporting
- Type - Classification of the service
- Units - Default number of units
Provider Defaults
- Default Provider - The provider typically associated with this service
- Default Supervising Provider - If supervision is required
Billing Attributes
- Tax - Whether this service is subject to sales tax
- Active/Inactive - Whether this code is currently in use
Insurance Setup
Insurance Companies
Select Setup > Insurance Cos from the menu to manage the master list of insurance companies and plans.
Each insurance company record includes:
- Name - Insurance company name
- Type - Insurance classification
- Contact Information - Address, phone, fax
- Claim Submission Method - How claims are submitted (paper, electronic)
- Procedure Code Set - Which procedure codes are recognized by this insurer
- Notes - Additional information
Insurance Classes
Select Setup > Insurance Classes to organize insurance companies into categories for reporting and filtering (e.g., "Commercial", "Medicare", "Medicaid", "Workers Comp").
Diagnosis Codes
Select Setup > Diagnoses from the menu to manage the list of diagnosis codes (ICD-10) used in your practice. Diagnosis codes are associated with charges for insurance billing.
Additional Setup
Accounts
Select Billing > Accounts to manage billing accounts. Accounts can group charges for patients or families.
Referral Sources
Select Setup > Referral Sources to track how patients are referred to your practice.
Companies and Employers
Select Setup > Companies and Employers to manage employer and company records for workers' compensation and occupational medicine billing.
Provider Classes
Select Setup > Provider Classes to categorize providers for reporting.
Practice Billing IDs
Select Setup > Practice Billing IDs to configure the practice's billing identification numbers (NPI, Tax ID, etc.).
Facilities
Select Setup > Facilities to manage facility records for place-of-service reporting.
Referring Providers
Select Setup > Referring Providers for Billing to maintain a list of referring providers for insurance claim requirements.
Billing Procedure Mapping
Select Billing > Billing Procedure Mapping to map your procedure codes to insurance-specific code requirements.
