Appointment Reminders

PatientConnection sends automated appointment reminders by text message and email, and records patient confirmations straight back onto the schedule — no staff time required.

Reminder cadence​

Reminders are sent on a schedule leading up to the appointment, and the wording of each one is separately configurable:

  • Immediately when the appointment is made (a "your appointment is scheduled" notice);
  • About a week before;
  • The day before;
  • Hours before the appointment;
  • A multiple-appointment variant, used when the patient has several upcoming appointments, so they get one combined message instead of a flurry.

Each of these has two versions — one for patients who have already confirmed, and one for those who have not — so a confirmed patient gets a courteous reminder while an unconfirmed one is asked to confirm. Practices serving patients in more than one language can provide the templates per language, and the right one is chosen from the patient's record.

Confirmations​

  • By text: the patient replies to confirm, and the confirmation — including the date and time it was made — is recorded on the event in InSched automatically.
  • By email: reminder emails can include a confirmation link; one click records the confirmation and shows the patient a "Thank you for confirming your appointment!" page.
  • Patients who use the Patient Portal can also confirm there.

If a reminder or confirmation request cannot be delivered (a bad number or address, for example), an activity is raised in InSched so staff know to reach the patient another way.

Opt-outs and delivery​

Reminder texts honor standard STOP/START opt-outs, and reminder emails carry an opt-out link that lets the patient decline this kind of message — or all email from the practice. Opted-out and previously-bounced addresses are suppressed automatically. All reminders and responses are logged in Recent Communications.
