InSched allows you to compose and send emails to patients directly from within the application. Emails can be sent individually or in bulk using mail merge.
Composing an Email
The Email Compose dialog provides the standard email composition fields:
- From Name - Your name or the practice name (pre-filled from SMTP setup)
- From Email - The sender email address (pre-filled from SMTP setup)
- To Name - The recipient's name
- To Email - The recipient's email address
- CC - Carbon copy recipients (visible to all)
- BCC - Blind carbon copy recipients (hidden from other recipients)
- Subject - The email subject line
- Message - The email body
Sending to Multiple Recipients (Mail Merge)
For sending the same email to multiple patients, use the Email Send Options dialog. This provides advanced features:
Send Options
- Subject - The email subject line
- From Email Address - Sender email
- From Name - Sender display name
- BCC - Blind carbon copy address, with an option to "Send BCC for first merge email only" (useful for keeping a copy without getting one for every recipient)
Templates
- Document Template - Select a pre-written email body from your template library
- Signature Template - Select an email signature to append
- Additional Attachment - Attach a file to the email
Preview and Send
- Preview/Edit - Preview the formatted email before sending
- Edit Documents - Open the template editor
- Edit Signatures - Open the signature editor
- Send - Send the email to all recipients
HTML Email Preview
Before sending a formatted or mail-merged email, you can preview how it will appear to recipients:
- The preview shows the complete formatted email
- Click Send Mail Merge to proceed with sending to all recipients
- Click Close to return to editing without sending
Email Responses
When you receive emails from patients (through the patient portal or other channels), you can reply directly from InSched using the Email Response feature. This opens a simplified compose window with the reply context pre-filled.
Tips
- Always preview HTML emails before sending to verify formatting
- Use BCC rather than CC when sending to multiple unrelated patients to protect privacy
- Consider using a dedicated email service (see SMTP Setup) for better deliverability
- All sent emails are logged in the Recent Communications history
