Rcopia e-Prescribing (DrFirst)

InSched integrates with DrFirst Rcopia for electronic prescribing. Providers and authorized staff can open a patient's Rcopia chart directly from InSched — the patient's demographics are sent to Rcopia automatically, so there is no need to search for or re-enter the patient on the DrFirst side. Prescription notifications (renewal requests, prescriptions waiting to be signed, and similar items) flow back into InSched so staff see them without having to keep Rcopia open.

Requirements​

  • Your practice must be enrolled with DrFirst and have Rcopia enabled for your InSched account. Contact IntelliPract support to set this up.
  • Each person who will use Rcopia must:
    • Log into InSched with their own individual login and password (shared logins cannot use Rcopia), and
    • Have the Rcopia e-Prescribing user box checked on their entry in the resource editor (Setup / Edit Resources).
  • If your practice has more than one DrFirst location, the available locations are configured during enrollment. When you prescribe, InSched either uses your default location or asks you to pick one.

Prescribing for a Patient​

  1. Open the patient's plan and click Prescribe in Rcopia.
  2. InSched sends the patient's current demographics (name, sex, date of birth, address, and phone numbers) to Rcopia, then opens the patient's Rcopia chart in your web browser, already signed in.
  3. Write and transmit the prescription in Rcopia as usual. When finished, simply close the browser window.

Notes:

  • The patient must be saved in InSched before you can open Rcopia for them. If you are entering a new patient, save the record first — InSched will remind you if needed.
  • Because InSched pushes the demographics on every launch, the patient information in Rcopia always matches InSched. Update addresses and phone numbers in InSched, not in Rcopia.

Patients With No Usable Address​

DrFirst requires an address for every patient. If a patient's address is unknown or unusable, check Address Unknown on the patient's information tab. InSched will then send a placeholder address to Rcopia so prescribing can proceed, without altering the address fields stored in InSched. Un-checking the box resumes sending the patient's real address.

Prescription Notifications​

InSched periodically checks DrFirst for pending items — renewal (refill) requests from pharmacies, prescriptions waiting to be signed, pending prescriptions, and change requests.

  • On the main screen: when there are pending items, an activity line ("Rcopia notifications") appears in the Activities section, summarizing the counts. It updates automatically and clears itself when nothing is pending. If new items arrive after a staff member marks the activity complete, it reopens.
  • On demand: use Rcopia Notifications... on the PatientConnection menu to see the practice-wide counts broken down by provider, or Rcopia Notifications for me... to see only your own. From that window you can jump straight into Rcopia to sign pending prescriptions or answer pharmacy renewal requests.

Counts refresh on a fixed schedule (about every 15 minutes), so a just-transmitted item may take a few minutes to appear.

Security Requirements​

DrFirst's security rules for e-prescribing are enforced by InSched for every Rcopia user:

  • Password age: your InSched password must have been changed within the last 90 days. If it is older (or its age is unknown), InSched will require a password change before opening Rcopia.
  • Unique passwords: an Rcopia user's password may not match any other login's password in the practice.
  • Changing your password: use File > Change My Password... at any time. You will be asked for your current password first. Administrators can also reset passwords in the resource editor; either method restarts the 90-day clock.
  • Re-entry after inactivity: if the InSched workstation has been idle beyond the practice's configured limit, you will be asked to re-enter your InSched password before Rcopia opens. Checking notification counts does not require re-entry — only opening Rcopia does.
