Portal Documents
Portal Docs is the practice-side worklist for everything exchanged with patients through the Patient Portal: files patients upload, intake forms they complete, and documents your practice sends to them. A badge in the portal header shows how many items are awaiting review.
The queue
Each row shows when the document arrived, the patient, the document title, its kind (Patient upload, Completed form, or Sent document), the direction, and its status. Filter by status (Awaiting review / Returned / Sent to patients / All) and by kind.
Statuses you will see:
- Sanitizing… — the file is being converted to a safe PDF (see Security & Privacy); it becomes viewable in a moment.
- Blocked — the file could not be converted safely and will not be opened.
- Awaiting review — ready for a staff member to look at.
- Returned: <reason> — sent back to the patient with your explanation.
- Sent / Viewed / Acknowledged — for documents you sent, whether the patient has opened it and (if you asked) confirmed reading it.
Row actions: Open views the document, Return sends it back to the patient with a reason they will see (for example, "photo too blurry — please retake"), and Thread jumps to the patient's conversation in the Inbox.
Sending a document to a patient
From the Portal Docs page, the Inbox thread toolbar (Send document), or the patient's page, you can deliver documents to a patient's portal:
- Upload up to five files (PDF, images, or Word documents).
- Give the document a title the patient will see, and add an accompanying message.
- Optionally check "Ask the patient to acknowledge they read it" — the patient gets an "I have read this" button, and the queue tracks Sent → Viewed → Acknowledged so you can see exactly where it stands.
The patient is notified according to their own notification preferences, and the delivery appears in their Inbox conversation, so the whole exchange stays in one timeline.
